Program Officer - The World Affairs Council of Northern California

The World Affairs Council of Northern California, the most significant international affairs organization on the west coast, convenes more than 200 public programs on
critical global issues each year. We work with policy makers, business leaders,
philanthropists, government officials, academics and public intellectuals to
deliver programming that engages the public in informed action.

The Council is a nonprofit organization with an annual budget of approximately
$5 million and a staff of twenty-two. The offices are in downtown San
Francisco, near Union Square, at the World Affairs Center, a building owned and
operated by the Council. The Council’s educational activities take place at the
World Affairs Center, at four Bay Area chapters, at the headquarters of its corporate
members, in classrooms and on line.

The Program Officer is part of a team of five professionals who work
collaboratively to plan and present programs, cultivate relationships with
speakers, and build effective partnerships with other organizations. All
members of the programs team are expected to contribute to the design,
development and staffing of annual conferences and other special events. The
Council seeks an energetic and organized individual, challenged by diverse
responsibilities. The position is a high visibility role and requires
significant interaction with the public. This position reports to the Vice
President for Public Programs and works closely with all members of the Council
staff.


Responsibilities include:

Program management is the planning and organization of programs in a variety of
meeting and conference venues for membership and public audiences, or for
smaller issue-focused groups or business executives.
• Identify and recruit speakers
• Coordinate speaker schedule and travel
• Conduct research to identify issues and topics of current interest
• Prepare briefing materials for program moderators and other principals
• Procure appropriate venues and liaise with venue staff
• Coordinate staffing needs and scheduling for specific programs
• Work with volunteer steering groups in the Bay Area to develop and implement
some programs
• Oversee audio recording, sound and/or video-conferencing for events
• Prepare follow-up correspondence and program evaluations
• Monitor program expenses; prepare payment requests and reimbursements in
coordination with finance staff
• Prepare materials for event promotion in coordination with marketing staff
• Update programs descriptions for print and website calendars
Partnership development and outreach is the building of new and creative
relationships outside the organization. The Council is known as a good partner
and co-sponsor of events.
• Identify like-minded organizations, nationally and in the Bay Area, for
possible partnerships or shared programs
• Monitor scheduled visits by foreign dignitaries and facilitate planning of
programs with San Francisco based Consulates General
• Build knowledge and connections to government agencies and national research
organizations

General and administrative activities support the Council and the Programs
function. A Program Officer is expected to share responsibility for record
keeping and the operations of the department. During large annual events or
visits by world leaders, all staff, including Program Officers, will share in
preparation and clean up. Special projects may be assigned by the Vice
President for Public Programs.

• Degree in international relations, political science, development, economics or other relevant field
• Commitment to the mission of the World Affairs Council
• Genuine interest in the nonprofit sector
• Experience in events planning, program coordination and execution
• Strong organizational and planning skills
• Ability to perform with a high degree of accuracy and attention to detail
• Cooperative spirit and ability to work collaboratively
• Excellent written and verbal communications skills
• Ability to handle multiple tasks and maintain focus under time pressure
• Proficient in Microsoft Office suite
• Willingness to work early evening hours and occasional weekends
• Foreign language skill a plus
